This Privacy Policy outlines how Earthrise Building Services (“Earthrise,” “we,”

“us,” or “our”) collects, uses, protects, and shares personal and sensitive data during commercial activities. These activities include indoor air quality (IAQ) and indoor environment quality (IEQ) monitoring, building modeling using LiDAR technology, surveying, and the provision of energy assessment solutions. Earthrise i committed to  ensuring the protection of data and maintaining compliance with applicable privacy laws.

This policy applies to all data collected during reality capture, imaging, IAQ/IEQ monitoring services, surveys, and interactions through the website,

2. Information Collected

The following data is collected, limited to what is necessary to fulfill the purposes outlined in this policy:


2.1. Imaging Data: Captures the structure’s geometry using LiDAR imaging to create a 3D building information model or digital twin of the building.


2.2. Environmental Data: Continuous monitoring of CO2 levels, temperature, relative humidity, radon, and particulate matter (PM2.5).


2.3. Sampling Data: Air and surface samples for Volatile Organic Compounds (VOCs) and mold, collected before and after retrofitting services.


2.4. Activity Data: Monitoring of Heat Recovery Ventilator (HRV) power consumption, wood stove, and furnace activity.


2.5. Personal Data: Names, addresses, phone numbers, email addresses, and payment information for service transactions or online accounts.


2.6. Sensitive Data:

  • Likenesses of individuals, including minors, may be incidentally captured during imaging. 
  • Health-related information indirectly captured through imaging and air quality monitoring.

2.7. Survey Data: Collected through surveys, including:

  • Demographic Data: Information on age, household size, and lifestyle.
  • Property and Structural Data: Information about the condition of the structure, HVAC systems, insulation,  and materials used in construction.

2.8. Website Data: Collected automatically via cookies, including IP addresses, browser type, pages viewed, and interactions with the Site.

3. Purpose of Data Collection

Data is collected and used for the following purposes:

 

  • To create accurate 3D models of buildings for retrofit design and implementation.
  • To improve the efficiency and effectiveness of energy retrofits.
  • To understand and improve IAQ and IEQ in homes.
  • To correlate indoor air quality fluctuations with home activities and appliance usage.
  • To gather feedback on indoor comfort to enhance services.
  • To improve the functionality of the website and analyze user interactions for performance and user experience optimization.

4. Service Locations

Reality capture, imaging, and monitoring services are provided on and within the properties of clients. Website data collection occurs globally for users interacting with the platform.

5. How Data is Handled

Earthrise follows stringent data protection protocols, which includes the following handling of each type of data:

5.1. Imaging and Environmental Data

  • Collection: Collected via LiDAR imaging, reality capture technologies, and environmental monitoring devices.
  • Use: Used to create 3D building models, improve retrofit designs, and assess IAQ/IEQ conditions.
  • Storage: Data is primarily stored in digital and cloud-based environments, with encryption and restricted access.
  • Anonymization: Personally identifiable information is removed wherever possible, using anonymized building IDs.
  • Sharing: Shared only in anonymized formats for public reports or internal research.

5.2. Sampling and Activity Data

  • Collection: Gathered through continuous monitoring devices, air sampling, and tracking of home appliances such as HRV units, wood stoves, and furnaces.
  • Use: Analyzed to improve IAQ/IEQ services and identify patterns between indoor environmental conditions and home activity.
  • Storage: Stored securely in cloud storage systems with encryption, and access is limited to authorized personnel.
  • Sharing: Data is shared only in anonymized and aggregated form for research or public reporting.

5.3. Personal Data

  • Collection: Collected when clients book appointments, sign up for accounts, or engage with services via the Site.
  • Use: Used for communication, service delivery, and processing payments.
  • Storage: Personal data is stored securely in digital and cloud-based storage systems with encrypted access, limited to authorized employees.
  • Sharing: Personal data is not shared with third parties for marketing purposes without explicit consent. Data may be shared with service providers when necessary for service delivery.

5.4. Sensitive Data

  • Definition: Sensitive data refers to information that may reveal a person’s identity, personal characteristics, or health conditions, such as photographs, videos, or health-related data captured indirectly during imaging.
  • Collection: Sensitive data, such as images of individuals and indirect health data, may be incidentally collected during imaging and IAQ monitoring processes. Earthrise advises clients to store any personal documents or sensitive materials in non-visible areas during imaging or scanning.
  • Use: Used to improve the accuracy of building models and assess potential health risks related to indoor environments.
  • Storage: Sensitive data is anonymized wherever possible and protected with additional security measures.
  • Sharing: Sensitive data is anonymized before being shared with third parties or used in public reports.

5.4.1. Express Consent: Earthrise requires express consent for commercial services where sensitive information may be collected. Detailed consent forms will be provided and must be signed before the provision of services by Earthrise. Where the privacy of affected individuals is the responsibility of our client, or subject to contractual relations between our client and the affected individuals, Earthrise requires clients to ensure that all such individuals are properly informed, and that express consent is gathered for the provision of services on the client’s behalf by Earthrise.

 

5.5. Survey Data (Demographic, Property, and Structural Data)

  • Collection: Collected through surveys related to IAQ/IEQ conditions, indoor comfort, and property conditions.
  • Use: Used to enhance service offerings by correlating feedback with IAQ/IEQ data, demographic trends, and property conditions.
  • Storage: Survey data is securely stored in cloud storage systems with encrypted access controls.
  • Sharing: Aggregated survey results may be shared internally for service improvement or publicly in anonymized form.

5.6. Website Data and Cookies

  • Collection: Automatically collected when the Site is visited, including browsing activity and interactions with the Site via cookies.
  • Use: Used to improve website functionality, enhance user experience, and analyze traffic patterns.
  • Cookie Policy: By continuing to use the Site, users consent to the use of cookies. Cookies can be managed via browser settings.
  •  Storage: Website data is stored in cloud-based systems with encrypted access.

6.2. Security Measures: Earthrise follows internal privacy protection protocols,

which include:

  • Use of encryption, secure cloud servers, and access controls.
  • Confidentiality and non-disclosure agreements with partners, contractors, and employees to ensure data handling is secure and private.

6.3. Data Retention: Site data is generally retained for five years, after which it is securely deleted unless otherwise notified. All other data collected during our commercial services is processed, anonymized, or wiped of identifiable information after one year of our services being completed or the termination of our working arrangements, except where otherwise expressly communicated.

 

6.4. Mitigation Measures: In the event of a data leak or breach, immediate steps will be taken to mitigate the issue and inform affected parties.

7. Third-Party Partners

7.1. Data Handling by Third Parties: 

Earthrise collaborates with third-party partners who may collect or process data necessary for service provision. Personal information processed by third parties may be subject to lawful access requests by foreign courts or government authorities as permitted in the relevant jurisdiction. 

 

Personal information will not be shared with third parties for marketing purposes without explicit consent.

8. Customer Rights

8.1. Free and Informed Consent: Detailed consent forms outlining services and data collection methods will be provided. Express consent is required when collecting sensitive data. Questions may be asked at any time, and consent can be withdrawn. However, data already collected, anonymized, or used for derivative purposes may not be possible to delete.

 

8.2. Privacy and Confidentiality: Personal information will be kept confidential and used only for the purposes outlined in this Privacy Policy.

 

8.3. Access and Correction: Individuals have the right to access personal data and request corrections where necessary.

 

8.4. Withdrawal of Consent: Consent can be withdrawn at any time without negative consequences. In cases where data has already been anonymized or used for derivative purposes, full deletion may not always be feasible.

Earthrise takes all privacy concerns seriously and will work to address them promptly and effectively. When submitting an inquiry, include a full name, contact information, and a detailed description of the request. Upon receiving an inquiry, our Privacy Officer shall:

  • Acknowledge receipt of the request within 5 business days; and
  • Provide a response or act based on the request within 30 days from the date of receipt, or as otherwise reasonable in the circumstances. If additional time is required to address the request, the reasons for the delay and the expected timeline for resolution will be communicated.
